Modern Slavery Code of Conduct

Honeycomb Agency respects and upholds the human rights of its workers in its operations and supply chains, including ensuring compliance with the Modern Slavery Act 2018 (Cth). Honeycomb Agency recognises that the term modern slavery covers a range of exploitative practices including human trafficking, slavery, forced labour, child labour, removal of organs and slavery-like practices and adopts the Modern Slavery Act 2018 (Cth)’s definition of modern slavery.
We expect all suppliers who work with or for Honeycomb Agency to:

    • Comply with all relevant modern slavery laws and regulations.
    • Proactively identify, address and, where required by legislation, report on the risks of modern slavery practices in their business operations and supply chains.
    • Make all reasonable efforts to ensure their business operations and supply chain are not engaged in, or complicit with, slavery.
    • Immediately inform Honeycomb Agency if they identify, are informed of, or become aware of instances or allegations of slavery or human rights abuses in their operations and supply chains and work to provide just remediation; and
    • Comply with modern slavery obligations set out in their contracts with Honeycomb Agency.

As part of our commitment to act ethically and with integrity, Honeycomb may from time to time ask our suppliers, service providers and contractors to demonstrate that they work in the ways required by this Modern Slavery Code of Conduct.
If, as a supplier, service provider or contractor, you have any concerns about compliance with this Modern Slavery Code of Conduct you must promptly make these known to Honeycomb.

Compliance with this Code of Conduct

Honeycomb Agency monitors compliance to this Code and reserves its right to verify a supplier’s compliance to this Code. Honeycomb Agency works closely with suppliers to ensure that they are aligned to this Code. Honeycomb Agency expects suppliers to cooperate and provide supporting evidence as may be reasonably required to help Honeycomb Agency monitor compliance with this Code. Honeycomb Agency may carry out verifications via supplier self-assessments, requests for further information, desktop reviews or on-site audits. Honeycomb Agency will work with its suppliers to identify and correct issues on a timely basis.

We expect all suppliers who work with or for Honeycomb Agency to:

Monitor their compliance to this Code and provide information to Honeycomb Agency on request about their compliance with this Code.

Where the supplier becomes aware of any actual or suspected breaches of this Code by the supplier or by their supply chain, they must immediately notify, cooperate, and willingly participate with Honeycomb Agency to remedy the breach in a timely and effective manner; and

Fraud, Anti-Bribery and Corruption Policy

Purpose

As a business we pride ourselves on the quality of relationships we have with the organisations and people we do business with, and the difference we make together in creating better experiences for our customers. Our business is diverse and involves partners, suppliers and stakeholders inside and outside of Australia. One of our core values is ‘We do the right thing’. Our Fraud, Anti Bribery and Corruption Policy (FABC Policy) addresses the key principles that must be adhered to regarding Fraud, Bribery & Corruption, Facilitation Payments, Gifts & Entertainment and Political Donations.

Scope

This Policy applies to all Directors, Team Members, Vendors, Contractors and Third Parties who work for or with Honeycomb Agency in all countries of operation. This policy sets out the expectations and standards required.

Principles

  • We want our relationships with partners (consisting of suppliers, service supplier agencies and consultants) to be a positive point of difference for Honeycomb Agency and to be a reflection of our core values.
  • Fraud, bribery and corruption are serious criminal offences that can have a significant impact on our brand, reputation and profits.
  • We are committed to complying with laws and regulations addressing fraud, bribery and corruption in each country in which we conduct business.
  • Individuals must not knowingly commit, be party to, or be otherwise involved in fraud, bribery and corruption.
  • We will not do business with any organisation that engages in fraudulent or corrupt activity.

Fraud

  • Fraud is dishonest activity that leads to obtaining a personal benefit through deception. It can be by an individual against the company, our customers or other external parties.
  • Fraud includes forgery, money laundering, irregular payments or commissions, misuse of company or customer information, theft or misappropriation of cash or stock, company credit card or asset misuse and falsifying accounting records.
  • Team members are expected to operate with integrity and comply with policies and procedures addressing the handling of goods, financial accounts, payments and information with respect to record keeping. Bribery & Corruption
  • Bribery and corruption are serious offences and can include improper payments, benefits or gifts offered or given with the purpose of influencing a decision or outcome. The bribe or corrupt act may not always be of a large value. It could be a lunch or an invitation to a sporting event.
  • Team members should never give or accept bribes to persuade someone to act in Honeycomb Agency’ favour, their favour or for the benefit of a third party, including family or friends.
  • Team members may engage with governments, regulators, NGOs and industry associations across the world in the ordinary course of business, however they should not offer or accept gifts, or entertainment to or from any government employee or public official.
  • Organisations and individuals doing business with Honeycomb Agency (including third parties) should never offer a bribe, payment or gift to a Honeycomb Agency’ team member or anyone working on behalf of Honeycomb Agency.
  • If a team member is offered a bribe, it is expected that they decline the offer and report the matter to their line manager, HR or through our whistleblower service Speak Up.

Facilitation Payments

  • Facilitation payments are low value payments to government officials designed to receive favourable treatment or speed up routine governmental actions.
  • Team members must never make payments in cash or payments that are unofficial, improper or irregular directly or indirectly to government or public officials in order to secure a permit or licence or accelerate any other decision from a government agency.
  • Team members are permitted to utilise legitimate fast-track processes in order to expedite routine actions.
  • Third parties must never make payments on behalf of Honeycomb Agency in cash or payments that are unofficial, improper or irregular directly or indirectly to public officials or any government agency.

Political Donations

  • A political donation includes gifts or payments made to a political party, candidate, or elected parliamentarians at federal, state or local government.
  • Honeycomb Agency may engage in the political process, provided it is in a manner that is open, transparent and compliant with all relevant federal, state and local laws.
  • Team members must not offer or accept any form of gift or entertainment to or from Government officials.

Investigation and Reporting

  • The COO is appointed as the Anti-Bribery & Corruption Officer. Their role is to provide oversight and advise the business so that fraud, bribery and corruption risks are identified, assessed and all instances of impropriety are investigated.
  • We will always investigate and act where fraud, bribery or corruption is identified, reporting matters to the appropriate authorities as required.
  • We have established multiple channels to report suspected incidents of fraud, bribery or corruption.
  • Team members are expected to promptly raise issues of suspected breaches to their line manager or HR.

Breach of policy

  • Compliance with this policy is mandatory. Team members dealing with suppliers, third parties, government, public officials and consultants are to emphasise and explain these requirements as a condition of our continued relationship with them.
  • Any breach of this policy by a team member will result in disciplinary action, may lead to their termination or criminal prosecution and may have serious consequences for all parties involved.

Policy Changes

This policy may be rescinded, changed or replaced at any time at the absolute discretion of General Manager Risk and Assurance and authorised delegates. This policy does not form part of any team member’s contract of employment.

Corporate Social Responsibility Policy

1. Introduction to Corporate Social Responsibility (CSR)

CSR refers to the way in which businesses regulate themselves to ensure that all their activities positively affect society. CSR policies aim to guarantee that companies work ethically, considering human rights as well as the social, economic, and environmental impacts of what they do as a business. Businesses should meet, and aim to exceed, any relevant legislation, and if legislation does not exist in a particular area, the company should ensure they carry out best practices anyway.

2. Who we are and what we do

5. Suppliers’ Standards

We aim to create and maintain strong relationships with key suppliers and contractors. We aim to choose suppliers who share our ethos in relation to employment practices, quality, and environmental controls. We have stringent vetting processes in place to ensure we engage with companies and/or individuals committed to maintaining best practice.

6. Health and Safety

We are committed to providing a safe and healthy working environment for all our activities, and to promoting a health and safety culture which focusses on maintaining the highest standards adhering to health and safety requirements. We are committed to ensuring that our employees are happy and healthy at work so they can enjoy their time with their loved ones. This commitment extends to our relationships with customers and suppliers.

We have an extensive Health and Safety Policy which is annually reviewed, updated, and communicated to all employees.

7. Protecting the Environment

We are aware of our environmental impact as a business and have taken, and will continue to take, appropriate steps to mitigate this impact. This includes implementing an environmental and sustainability policy which is reviewed annually and updated as appropriate and required. We set environmental objectives and targets, employ procedures, and provide training to ensure our employees and contractors understand their environmental responsibilities and can seek to improve our environmental performance.

We are committed to reducing our environmental impact by encouraging greener transport, recycling where possible, and working with suppliers and contractors who share the same environmental values as ourselves, and by ensuring compliance with all appropriate legislation.

8. Community Engagement

We recognise and understand the significance of the local community within which we operate. We aim to enhance our contribution to the community by being sensitive to the needs of local people and groups, and by promoting ethical and socially responsible trading.

As a business, we are doing our bit to support local communities by:

  • Making monetary donations to local charities, youth groups and community centres
  • Supporting local charities by donating time (i.e., staff participation in volunteering days)
  • Supporting the surrounding community by employing local people and giving opportunities to young people from our local communities via apprenticeships and work experience.

Terms and Conditions

Please take the time to read our trading terms to ensure we supply the best quality of service and advice to you at all times.

Placing Your Order with Honeycomb Agency

  1. Orders shall only be accepted after receipt of a Company purchase order or an approved Honeycomb Agency Order Confirmation.
  2. Please ensure your order includes all details such as delivery address, contact, dates & instructions, sizes of garments, position of logo, quantity, size of logo and any other pertinent elements to the order.
  3. Shipment quantities of plus or minus 5% of an order are considered complete. You will be invoiced for the exact quantity shipped. Please note on your official order if the exact quantity is required.

Payment

  1. A 50% deposit is required upon confirmation of orders over $10,000 or indent orders and must be paid at artwork approval stage. A deposit-invoice will be emailed through on receipt of your artwork approval. Production will commence once payment is received.
  2. Our standard trading terms for credit approved customers are Net 7 days from invoice. Invoices will be emailed.
  3. Initial orders are to be pre-paid (COD) or with a 50% deposit. This will be invoiced on receipt of the approved artwork. Production will commence once payment is received.
  4. All orders under $800.00 must be paid in full prior to production commencing.
  5. Most locally sourced products can be delivered within a two to three-week time frame. Due to the extra costs incurred, all orders requiring less than 10 days delivery time, will incur a 20% surcharge of the total order value.

Order Change/Cancellation

No change or cancellation of orders permitted after production has commenced. Setup fees and any development costs will be passed on, including any sampling or courier charges incurred, should a cancellation of order be made before production has commenced.

Delivery

  1. To assist our team, please give the actual date of the function or event for which the product is required. While rush jobs can be accommodated, we all know these are the ones most likely to create problems.
  2. Normal production time for locally produced items is approximately 10-15 working days from receipt of your order and artwork approval, subject to stock availability.
  3. Normal production time for indent orders is approximately 7 – 8 weeks via air and 14-16 weeks via sea from receipt of your written order and artwork. This does not take into consideration local country holidays (such as Chinese New Year) or other incidents that may affect delivery.
  4. Delivery lead times are subject to change due to seasonal factors and increased demand on couriers.

Quote Validity

Estimates are valid for 30 days.

Freight

  1. All product shipped from our factory is inspected and signed for by the carrier. We do not cover breakages once leaving our factory, unless insurance has been purchased.
  2. Honeycomb Agency ships to all Australian major capital cities within 48 hours excluding WA, SA, NT and TAS. Please allow extra time for these destinations.
  3. All cartons are delivered to one destination. Honeycomb Agency will distribute your order to several destinations or separate the job into various quantities for you; however, an additional split delivery fee will be incurred to cover the extra time involved. Please discuss these charges prior to proceeding with your order.
  4. Honeycomb Agency is happy to expedite orders via airfreight or same day VIP couriers; however, this service will incur additional costs.
  5. International freight charges will be quoted at the time of order. Please note there may be additional duty and tax charges applicable at the delivery destination. These charges may not be confirmed until the goods have arrived into the country and are not the responsibility of Honeycomb Agency unless confirmed prior to delivery.

Artwork

  1. We require finished artwork in the form vector file, ie, .eps, .ai or high res PDF. A jpeg file should be supplied additionally but not in place of the vector file. Any art developed by Honeycomb Agency will incur charges and will be quoted to order. Set up charges are separate to artwork/graphic design charges.
  2. Due to the nature of ceramic colours, we cannot guarantee an exact or identical match. The colour of the item will further influence the colour of the imprint.
  3. Please provide us with Pantone / PMS colours if no colour reference is available.
  4. Please note that we cannot guarantee an exact match on embroidery threads – Pantone colours are used as a guide only.
  5. Full Colour Direct Digital printing is a CMYK print format and Pantone colour matching cannot be guaranteed.

Pre-Production Samples

The following prices can be used as a guide when ordering pre-production samples:

  1. Embroidery up to 5,999 stitches – $75.00 + $160.00 set up fee + the cost of the item.
  2. Laser Engraved one position engraving – $80.00 + $130.00 set up fee + the cost of the item.
  3. Pad printing – $70.00 + $155.00 set up fee per colour + the cost of the item.
  4. Screen printing – $70.00 + $115.00 set up fee per colour + the cost of the item.

When the order proceeds, set up fees may not be recharged. Prices subject to change depending on the complexity of artwork provided.

Claims

Any claim requests must be made in writing within a 7-day period from the invoice date. Claims will not be accepted after 7 days.

Prices

All quotes presented are subject to fluctuations in the Australian Dollar. Prices are subject to change, although this is an infrequent occurrence and will be communicated.
